This new post will support the development and delivery of an exciting new collaboration between King’s College London and the University of Portsmouth(UoP). From 2024, King’s will be delivering a medical school branch campus for Graduate Entry students in Portsmouth working in collaboration with UoP and NHS partners in the region. This collaboration will have a significant positive impact on the future of the local healthcare workforce and patient outcomes.

You will work with the GKT School of Medical Education and the University of Portsmouth (UoP) to support the operational implementation of the MBBS Graduate Entry (GEM) programme, branch campus provision. 

Working closely with the delivery lead, and the Branch Campus Programme Director this role will also support academic and professional service stakeholders across both institutions to provide a proactive administration provision. 

The role forms part of the Faculty Education Services (FES), within the Faculty of Life Sciences & Medicine (FoLSM). Reporting to the Branch Campus Delivery Lead and working routinely with key FES staff as well as liaising with central KCL departments, specifically the Students & Education Directorate. 

This post will be offered on a fixed term contract for 12 months (Dec 23 – Dec 24)

Key responsibilities

  • Work with relevant colleagues including supporting the Branch Campus Delivery Lead to identify project priorities, demonstrating flexibility throughout, recognising when priorities change, amending plans and adjusting work patterns accordingly.    
  • To support the production of comprehensive documented standard operating procedures with agreed and defined activity ownership between UoP and KCL.  
  • Coordinate and enable access and ongoing support for all end users of KCL programme and student administration systems, e.g, SITS, Scientia, KEATS, In Place and Practique.   
  • Develop and manage documentation management; streamlining shared repositories, ensuring the storage and sharing of data is in line with College policy.  
  • Assisting with stakeholder management, developing and maintaining regular contact with internal and external stakeholders to understand requirements. 
  • To support the planning and organisation of meetings and events across KCL, branch campus and partner sites.   
  • Servicing formal project board meetings, producing up to date progress reports and ensuring all follow up items are proactively managed and tracked effectively.  Escalating any risks as appropriate.
  • To maintain good working relationships with colleagues across faculties, the branch campus and partner sites.   
  • To embed an excellent student experience ethos and student support provision, ensuring students have relevant access to welfare and wellbeing services.

Skills, knowledge, and experience 

Essential criteria  

  1. Excellent written and oral communication skills including the ability to draft documents and correspondence autonomously to a broad range of audiences. 
  2. Excellent time management and organisational skills and the ability to work to tight deadlines. 
  3. Excellent working knowledge of Microsoft Word, Excel, PowerPoint and Outlook. 
  4. Data driven decision making approach, utilising appropriate information as required. 
  5. Experience of stakeholder management, ability to work with a broad range of stakeholders in a professional and assured manner. 
  6. Proactive approach, and the ability to work independently. 
  7. Demonstrates enthusiasm, drive, and initiative when managing challenges and ability to adopt a proactive collaborative approach to problem solving, escalating risk when necessary. 
  8. Ability to work under pressure to complete a range of competing priorities, and requesting and utilising support as and when required. 
  9. Familiar with university administration and systems, such as, student records (SITS/ePortfolio) and virtual learning environment (Moodle). 

Desirable criteria

  1. Project delivery or project support experience. 
  2. Experience of working with external academic/partner institution or collaborative provision. 
  3. Experience of undergraduate medicine and/or programme delivery support.

The role will have regular weekly on campus working and will require some travel to the Portsmouth Branch Campus and possibly some NHS Trust sites
